Short on time? Here's how to plan smarter
July 2025 - Time is one of the most precious resources for any entrepreneur. And yet, many business leaders feel constantly rushed: an overloaded schedule, dozens of pending tasks and hardly any room for strategic thinking. Good time and project management can make all the difference. Not only to avoid burnout, but also to create clarity and peace of mind for yourself and your team.
Start with an overview
Good planning starts with a clear picture of what is going on. Set aside 30 minutes each week to map out your projects, deadlines and appointments. Tools such as Trello, Notion or a physical kanban board can help. Rank your tasks: what is urgent, what is important, and what can wait?
Work with time blocks and boundaries
Time blocking is a proven method: you reserve fixed blocks in your calendar for specific tasks, such as administration, sales or meetings. This prevents urgent ad hoc matters from taking over your day. Don't forget your breaks – productivity also requires recovery. Setting boundaries is just as important. Not everything has to be done immediately. Leave room in your calendar for unexpected matters, but keep an eye on your core priorities.
Automate and delegate where possible
Regularly ask yourself: what do I really need to do myself? And what can I automate or outsource? Consider setting up automatic reminders, delegating recurring tasks or using digital assistance.
Reflect and adjust
At the end of each week, take a moment to reflect. What went well? What could be improved? By consciously looking back, you can continuously improve your approach.
By using your time more wisely, you not only create breathing space in your diary, but also more mental space for what really matters. Efficiency is not an end in itself, but a means to do business with more peace of mind, focus and energy.
